Privacy Policy

This policy explains what information Root & Quill LLC (“Root & Quill”, “we”, “us”) collects through www.rootandquillfamily.com, how we use it, and the choices you have. The Root & Quill app has its own policy, the App Privacy Policy.

The short version

We collect only what you choose to send us, plus the basic information any website receives when you visit. We use it to answer you and to research and write your family history. We don’t sell it, and we don’t use it for advertising.

What we collect

• When you contact us or book a consultation: your name, email address, any phone number you give, the date and time you choose, and what you tell us in your message.
• When you become a client: what you share in the family questionnaire and afterward, such as names, dates, places and stories about your family, and the photographs and documents you send. This often includes information about relatives, living and deceased.
• When you pay: payments are handled by our payment processor. We see your name, the amount and the last digits of your card, never the full card number.
• When you visit the site: like any website, our hosting service receives standard technical information, such as your IP address, browser type, the pages you view and the site that referred you. It also sets cookies, described below.

How we use it

• to reply to your messages and schedule and hold your consultation
• to prepare your quote and agreement, and to take payment
• to research, write, design, print and deliver your family history
• to keep the site working, secure, and to understand in aggregate how it is used
• to keep business and tax records as the law requires

We don’t send marketing email unless you ask for it, and we don’t sell or rent personal information to anyone.

Your family’s information

What you share about your family is used only to make your book. We don’t publish it, and we don’t use living people’s details in any sample, marketing or public material without permission. Your book and its research files are delivered to you and the people you choose.

Who helps us

We rely on a few service providers, who handle information on our behalf under their own privacy policies:

• Squarespace hosts this website, its forms and its cookies (Squarespace privacy policy).
• Acuity Scheduling (part of Squarespace) handles consultation bookings.
• Our payment processor (such as Stripe) handles card payments (Stripe privacy policy).
• Our email provider, and the printer that prints and ships your books (which receives your book files and shipping address).

We may also disclose information if the law requires it, or to protect our rights or someone’s safety.

Cookies

Squarespace sets cookies that the site needs to work (for example, to remember your cookie choice and keep the site secure), and analytics cookies that help us see in aggregate which pages are visited. When you first visit, a banner lets you accept or decline the non-essential cookies, and you can also block or delete cookies in your browser settings. Squarespace lists the cookies it uses in its cookie documentation.

How long we keep it

We keep inquiry messages for as long as needed to answer them and follow up. For clients, we keep research files and correspondence for the life of the project and afterward, so that we can answer questions, reprint books or add to your history later, unless you ask us to delete them. Business and tax records are kept as long as the law requires.

Your choices and rights

You can ask us to show you, correct or delete the personal information we hold about you, or to stop using it, by emailing us. We’ll answer within 30 days. Depending on where you live, you may have further rights under your local law, and we’ll honor them.

Security

We use reputable providers and take reasonable steps to protect your information, but no method of sending or storing information online is completely secure.

Children

This site is meant for adults. We don’t knowingly collect personal information from children under 13 through the site. Information about children in your family that you share for your book is used only to make the book.

Changes to this policy

If we change this policy, we’ll update this page and the effective date at the top.
